What this policy covers
This policy explains what personal information we collect when you contact us, why we collect it, how long we keep it, and your rights under UK data protection law (the UK GDPR and the Data Protection Act 2018).
Information we collect
When you contact us
If you fill in a form on this website, call us, email us, or send us a WhatsApp message, we collect:
- Your name
- Your phone number
- Your email address
- Any details you choose to share about your child's age, year group, school subject or learning needs
When you visit this website
We use Google Analytics to understand how visitors use our website. Google Analytics collects anonymised information such as the pages you visit, the time you spend on each page, the device and browser you use, your approximate location (city level), and how you arrived at the site (for example, from a search engine or a Google Ads link).
Google Analytics does not collect your name, phone number or email address. You can opt out of Google Analytics tracking by installing the Google Analytics Opt-out Browser Add-on.
Cookies
This website uses only the cookies set by Google Analytics for the purpose described above. We do not use any other tracking, advertising or third-party cookies at this time. If we add cookies in future (for example, to measure the effectiveness of Google Ads campaigns), we will update this policy and seek your consent where required.
Why we collect this information
We collect your personal information so that we can:
- Respond to your enquiry about tuition
- Arrange and conduct a free assessment for your child
- Follow up with you after an assessment or booking to make sure tuition is going well
- Keep you informed about your child's tuition arrangements
- Meet our legal obligations (for example, keeping financial records for HMRC)
Our lawful basis for processing your information is legitimate interest — you have actively contacted us asking for help, and we are using your information only for the purpose you contacted us about. We do not use your information for marketing newsletters or send promotional content.
Where we store your information
Your contact details and any information you share with us are stored in the following places:
- Email correspondence is held in our business email account at info@improvetuition.org
- Phone numbers may be saved as contacts on the Improve Tuition business phone, so we can recognise you when you call
- Form submissions from this website are sent to our business email and are not stored in any third-party system
All correspondence is handled personally by Mr Dabhad. We do not currently use any external CRM, mailing list, or third-party tool to store enquiry information.
Who we share your information with
We do not sell your personal information. We do not share your information with third parties for marketing purposes.
The only third party that processes information related to your visit to this website is Google, through Google Analytics — and the information it sees is anonymised, as described above.
We may share your information if we are legally required to (for example, in response to a court order or to comply with HMRC obligations).
How long we keep your information
We keep your information only for as long as we need it:
- If you become a tuition family, we keep your contact details and tuition records while tuition is active, and for up to two years after your last contact with us, in case you return.
- If you enquire but do not go ahead with tuition, we keep your contact details for up to two years, then delete them.
- Financial records (invoices, payment records) are kept for six years, in line with HMRC requirements for sole traders.
You can ask us to delete your information at any time — see "Your rights" below.
Your rights
Under UK data protection law, you have the following rights:
- Right to access — you can ask us for a copy of the personal information we hold about you.
- Right to correction — you can ask us to correct any information that is wrong or incomplete.
- Right to deletion — you can ask us to delete the information we hold about you (sometimes called the "right to be forgotten").
- Right to object — you can ask us to stop processing your information.
- Right to restrict processing — you can ask us to limit how we use your information while a request is being resolved.
- Right to data portability — you can ask us for a copy of your information in a machine-readable format.
To exercise any of these rights, please email info@improvetuition.org. We will respond within one calendar month.
Children's information
Because we provide tuition for children, the personal information we hold often relates to a child (the pupil). We rely on the parent or guardian who contacts us to provide that information on the child's behalf, and to make decisions about how it is used. If you are a parent and you would like us to delete information relating to your child, please contact us at info@improvetuition.org.
Security
We take reasonable steps to keep your information safe. Our email account is protected by a strong password and two-factor authentication. The Improve Tuition business phone is protected by a passcode. We never share login details with third parties.
Complaints
If you are unhappy with how we handle your information, please contact us first at info@improvetuition.org so we can try to resolve the issue.
You also have the right to complain to the Information Commissioner's Office (ICO), the UK regulator for data protection. You can contact the ICO at ico.org.uk or by phone on 0303 123 1113.
Changes to this policy
We may update this policy from time to time, for example if we start using new tools or change how we handle information. The "last updated" date at the top of the page will always reflect the latest version. If we make significant changes, we will tell you at the next point of contact.
